The Problem
C&S Landscape and Lawn Service runs job tracking and crew scheduling through LMN, and accounting through QuickBooks Online. Both systems are good at what they’re built for, but neither gives ownership a full picture on its own. LMN doesn’t break down crew efficiency by individual employee, only shows job costing one job at a time (and leaves out overhead costs), and has no way to trend revenue per hour across the business. QBO holds the P&L and budget, but in a separate login from all the field data. Getting a real read on the business meant checking multiple systems and stitching together spreadsheets — a routine that ate into management’s week and made “how are we actually doing” a harder question to answer than it should have been.
What We Built
We connected LMN and QBO into a single automated data pipeline and built a management dashboard that gives C&S’s leadership team one always-current view of crews, jobs, and financials.
An automated data pipeline
Automated workflows pull job, timesheet, invoice, estimate, and lead data out of LMN and P&L and budget data out of QBO on a schedule, then keep everything current with event-based updates: job costing recalculates automatically about 48 hours after a timesheet is logged, records update the moment a job is marked inactive, and the latest invoice date is tracked on every job. Nobody has to export a spreadsheet or log into either system to keep the numbers current.
Crew efficiency, broken down by employee
This is something LMN doesn’t offer. We calculate productive vs. non-productive hours for every employee, trended by month, with non-productive time broken out by code — so managers can see exactly where crew hours are going instead of just knowing the number changed.
Revenue per hour, on a per-job basis
Every job’s revenue is measured against actual hours worked to produce a real revenue-per-hour figure, trended over time and filterable by service type — so C&S can see which kinds of work are genuinely the most profitable per crew-hour, not just which bring in the most revenue.
Company-wide job costing, including overhead
LMN shows job costing one job at a time. We built a report that lines up every job side by side with aggregate metrics across the whole book of business — and, unlike LMN’s job costing, ours includes overhead costs, so the numbers reflect what a job actually costs the company to run, not just its direct expenses.
P&L and Budget vs. Actual, straight from QBO
The QBO Profit & Loss and Budget vs. Actual reports are now built directly into the same dashboard, so leadership doesn’t need a separate QuickBooks login to check how the company is tracking against plan.
Sales and estimating
Leads, jobs booked, and estimates are tracked by month against goals, giving the sales side of the business the same visibility operations and finance now have.
The Results
Every one of C&S’s company managers now uses the dashboard — it has become the one place the team goes to check on the business, replacing the old routine of jumping between LMN, QBO, and spreadsheets. Crew efficiency and revenue per hour are measured and visible for the first time, giving C&S a real baseline to work from as they push to improve both going forward.
